Problem

HSE Mining faced significant challenges in maintaining visibility over compliance and ensuring the timely execution of subsequent assessments necessary for the validity of Coal Board medicals. Managing health monitoring for their workforce, which is crucial for upholding safety standards in the coal mining industry, was particularly problematic. Their reliance on manual processes and spreadsheets was inefficient and error-prone, complicating the tracking of compliance, assessing health changes over time, and transferring information from pre-employment screenings. The speed at which employees were hired was also critical, and Carelever provided the necessary transparency to effectively address this issue.

Implementation

In collaboration with HSE Mining, Similar Exposure Groups tailored to the specific health monitoring needs of their site were developed. Detailed testing requirements that met regulatory, site-specific and role-specific standards were created. These profiles were seamlessly integrated into Carelever, allowing for configured testing for both pre-employment and ongoing health surveillance assessments.

Results

The implementation of Carelever significantly reduced the administrative workload associated with regulatory compliance and the management of baseline Coal Board medicals during pre-employment, as well as the ongoing maintenance of periodic Coal Board medicals. Digitisation of forms ensured consistent quality, aligning with RSHQ’s strict standards for health providers. Regular reporting facilitated the maintenance of the existing workforce and helped forecast future requirements, ensuring all coal board medical standards were met consistently and at scale.
